- Aeris’s reasons for processing your personal data:
Recruitment applications: We process your personal data to: (1) identify and authenticate your use of Rippling; (2) operate, provide account management for and improve the Rippling and your experience associated therewith; (3) carry out data analytics regarding usage of the Rippling; (4) communicate with you regarding the operation of the Rippling or (5) when necessary, exercise our legal rights.
Artificial Intelligence (‘AI’): We also use AI functionality embedded within the Rippling to process specific aspects of your application, such as reviewing answers to pre-qualifying questions and recording and transcribing interviews.
If you are located in the United States of America or India we will also use AI to analyze your resume but we will not deploy the AI to make hiring decisions. All AI outputs will assist in enhancing the candidate experience, speed to response of applications and an improved interview process.
Legal Basis for Processing: We must have a legal basis to process your personal data. In this case, we are processing your data with your consent.

International transfer of your personal data: Your personal data will, in specific instances, be processed outside of your country of origin by Aeris or the approved third party suppliers, operating in: (1) Software and/or Cloud Services; (2) Data Analytics; (3) Artificial Intelligence; (4) Business Services & Human Capital Management and (5) Administration. Aeris has safeguards in place in accordance with applicable law to ensure that your personal data will, at all times and in all locations, be adequately protected to the standards required by applicable data protection laws.

When we share your personal data: We may share your personal data among the Aeris family of companies and with our approved third party suppliers (as categorized above).
- Personal data retention period: We will keep your personal data for as long as we have a relationship with you. Once our relationship with you has come to an end, we will retain your personal data for a period of time that enables us to: (1) maintain business records for analysis and/or audit purposes; (2) comply with record retention requirements under the law; (3) defend or bring any existing or potential legal claims; and (4) deal with any complaints regarding the services. We will delete your personal data when it is no longer required for these purposes. If there is any personal data that we are unable, for technical reasons, to delete entirely from our systems, we will put in place appropriate measures to prevent any further processing or use of your personal data. You may reach out to Aeris to withdraw your consent to our processing of your personal data by contacting us via dpo@aeris.net. We shall erase your personal data within a reasonable period after receiving your consent withdrawal request.
